Streamlining Document
Management to Promote Growth
and Company Workflows

Published: Sep 9, 2025

Overview

As an energy company expanded, its document management system and processes were significantly inadequate to accommodate the volume of documents and manage their workflow.

Challenges

A company that develops bulk power transmission facilities in New York State struggled with document management inefficiencies, impacting field operations and internal collaboration. To compound the disfunction, the client was unable to migrate 100,000 documents from their engineering partner into their new internal Document Management System. They needed a scalable, standardized solution.

The new system, Revver, had not been properly configured and lacked standardized file structures, defined metadata and revision control, workflow approval processes, and a clear understanding of system capabilities.

Solutions

  • Conducted a deep-dive into the capabilities of the existing Document Management System.
  • Identified key attributes for metadata, revision control, and workflow approvals.
  • Worked with IT to establish a scalable infrastructure that supported document access and security across teams.
  • Defined business requirements across engineering, operations, and project management.
  • Standardized processes and file structures across all verticals.

Results

  • 100% implementation of the updated document management system.
  • 100,000+ documents securely transferred, stored and accessible in document repository.
  • 100% document version control within the system
  • 100% access to all engineering design and company documents across all verticals.
  • Fully implemented system workflow approvals throughout all executive leadership.
